PATA is seeking a General Auditions Coordinator/Audition Committee Chair to help lead planning and execution of the 2024 Citywide General Auditions.
This is a volunteer position with one year of PATA membership offered in trade.
Approximate dates/duration: February 1st – April 15th, 2024. Must be available to meet several times leading up to auditions (times flexible), attend the audition days (March 24 & 25), and meet at least once after auditions to debrief.
Summary: The General Auditions Coordinator is a dedicated volunteer who oversees the planning and logistics of Portland Area Theatre Alliance’s Annual General Auditions. The successful Coordinator is a skilled event manager, able to own all aspects of event planning and day-of event execution. This position requires detailed knowledge and experience of event planning, audition logistics, volunteer management, and nonprofit organization operations. This role is supported by the PATA Office Manager, the Auditions Committee, and PATA board members. This position reports to the current PATA President.
Essential Duties:
- Oversee event logistics: venue, supplies, and registration
- Recruit, schedule, train, and supervise team of board & volunteers
- Create communication materials to promote the event and reach out to potential auditors and auditionees
- Schedule and lead Audition Committee/planning meetings with support of the Office Manager
- Provide a positive and supportive atmosphere for all event attendees
- Communicate consistently and promptly with PATA Board and staff
- Attend all days of the General Auditions (March 24-25) and oversee operations
- Create and update notes and event templates for future event coordination
- Debrief with the Audition Committee after the event
Qualifications:
- Experience in event coordination
- Ability to work well as a team with staff, board members, and volunteers
- Adaptable and flexible within a wide variety of situations
- Strong communication and interpersonal skills; High attention to detail
- Excellent time management, decision making, and problem solving skills
- Proficiency with Google Suite apps and other team collaboration tools
- Previous attendance at PATA General Auditions (or similar high volume auditions) in some capacity
About the auditions: The Citywide General Auditions are a multi-day audition event that bring together hundreds of actors with a variety of local theatre companies, independent producers, and talent agencies.
